Look, we get it - nobody really enjoys reading privacy policies, but we think you should know how we handle your info. We've tried to make this as straightforward as possible.
Hey there - thanks for taking the time to check out our privacy policy. Last updated November 2024.
Here at Cyrendal Quinthar Architecture, we've been designing buildings across Toronto for years, and we take protecting your personal information just as seriously as we take structural integrity in our designs. When you reach out to us about a project or just browse our site, we want you to feel confident that your data's in good hands.
This policy covers everything - from the contact forms on our website to the consultations we have over coffee at our Queen Street West office. We're based in Canada, so we follow PIPEDA (Personal Information Protection and Electronic Documents Act) guidelines, plus we're pretty cautious by nature anyway.
Alright, so here's what we typically gather when you interact with us:
Your name, email, phone number, and mailing address. Pretty standard stuff when you're inquiring about architectural services or scheduling a consultation with us.
Details about your property, budget considerations, timeline expectations, and what you're hoping to achieve. This helps us understand if we're the right fit for your vision.
IP addresses, browser types, device info - the usual web analytics stuff. We use this to make sure our site works properly and to understand how people find us.
Emails, meeting notes, phone conversations. We keep these on file so we can reference back to what we've discussed about your project - nobody wants details getting lost.
We're not gonna beat around the bush here - we use your information to do our job well. That means:
We're not in the business of selling your data - that's not our thing. But sometimes we do need to share info with others to get the job done:
Engineering consultants and contractors - If we're working on your project, structural engineers, MEP consultants, and contractors need certain details to do their part.
Municipal authorities - Building departments, planning offices - they require specific information for permits and approvals. Can't really avoid that one.
Professional service providers - Our accountants, lawyers, insurance providers, and IT support folks who help keep our practice running smoothly. They're all bound by confidentiality agreements.
Legal requirements - If we're legally obligated to disclose information (court orders, regulatory requests), we'll do what's required but nothing more.
Everyone we work with is vetted and required to maintain confidentiality. We don't just hand over data to anyone who asks nicely.
Yeah, we use cookies - but not the delicious kind. Here's the deal with our website tracking:
We use Google Analytics to see how people find and use our site. It's anonymized data that helps us understand stuff like "wow, nobody can find our portfolio page" or "people really seem interested in our sustainability work." This helps us make the site better.
We also use essential cookies that remember your preferences (like if you've already seen our cookie banner) and keep our contact forms working properly. Without these, the site would be pretty clunky to use.
You can disable cookies through your browser settings if you want. Just know that some features might not work as smoothly, and you might see the same cookie notice repeatedly.
Under Canadian privacy laws, you've got several rights when it comes to your personal info:
You can ask to see what information we have about you. We'll provide it within 30 days (usually faster, but regulations give us a month).
If something we have on file is wrong, let us know and we'll fix it. Accurate info helps everyone involved.
Want us to delete your data? We can do that, unless we're legally required to keep it (like for tax purposes or ongoing projects).
Don't want marketing emails from us? No hard feelings - just click unsubscribe or shoot us an email and we'll take you off the list.
To exercise any of these rights, just email us at info@cyrendalquinthar.info or give us a call. We'll need to verify it's actually you making the request (can't just hand over info to anyone), but we'll make the process as painless as possible.
We take security seriously (kinda have to when you're holding people's project details and financial info). Here's what we do:
That said, no system is 100% bulletproof. We do our absolute best, but we can't guarantee complete security (nobody honestly can). If there's ever a data breach affecting your info, we'll let you know right away and explain what happened and what we're doing about it.
We don't keep your information forever. Here's our general approach:
Active projects: We keep everything we need while we're working together. Makes sense, right?
Completed projects: We retain project files for 7 years after completion - that's the professional standard for architects in Canada. After that, we archive or securely destroy them.
Inquiries that didn't move forward: We'll typically keep these for about 2 years in case you circle back, then delete them.
Marketing contacts: Until you tell us to stop or we notice you haven't engaged with anything we've sent in a couple of years.
Look, we get that privacy policies can be confusing - and we've tried to make ours as clear as possible. But if something's still unclear or you have specific concerns about how we handle your data, just reach out. We'd rather have a conversation than have you worrying about it.
If you're not satisfied with our response, you can also file a complaint with the Office of the Privacy Commissioner of Canada. But we're pretty confident we can address any concerns directly.
Got questions about privacy, want to exercise your data rights, or just wanna chat about a project? We're here.
